Bulk Import: Linking Investor Records

How to bulk upload investors to Delio and ensure their records are correctly linked to the Portfolio Reporting system. Follow these three steps in order — the link between systems depends on each step being completed before the next.

Step 1 — Add investors via bulk upload

Investors are added to Delio using the bulk upload feature in the Add Investor area.

  1. Navigate to Add Investor and open the Bulk Upload dialog.
  2. Download the Bulk Upload Template from the link shown in the dialog.
  3. Populate the template with one row per investor using the fields below.
  4. Note the Onboarding Journey ID you wish to assign — this is shown in the dialog — and add it to the onboarding_id column.
  5. Upload the completed file using Select File.

Note: Once uploaded, invitations are held in a pending state until approved within the platform. The investor will not receive their invitation email until that approval is completed.

Step 2 — Retrieve investor GUIDs via user export

Once investors have been added, retrieve their GUIDs using the export feature in the Manage Investors area. The GUID is the unique identifier that links an investor's Delio record to the Portfolio Reporting system.

  1. Open Manage Investors and select Export all users.
  2. In the export dialog, select at minimum the following columns: User Guid and User Email.
  3. Choose Export all users as the scope, then click Export CSV.
  4. Open the downloaded CSV, filter to the investors just added, and note the User Guid, name, and email for each — these are used in Step 3.
Important: The GUID must be copied exactly — it is case-sensitive. Any error will result in two unlinked records that cannot be automatically reconciled.

Step 3 — Import investors into the Portfolio Reporting system

Download the import template from the Data Import area of the Portfolio Reporting system and complete one row per investor using the values below. Name and email can be copied directly from the export completed in Step 2.

Note: The Source ID field is what links the two records together, ensuring data flows correctly between Delio and the reporting system.

Process Summary

  1. Populate and upload the Bulk Upload Template via Add Investor in Delio
  2. Export all users from Manage Investors and note each investor's GUID, name, and email
  3. Complete and upload the Portfolio Reporting import template with Sourcedelio and Source ID = GUID
  4. Records are now linked across both systems and further imports can be made

Key points to remember

  • Always create the investor in Delio first — the GUID cannot exist until this step is complete.
  • Setting auto_send to Yes dispatches invitations immediately, bypassing any approval workflows. Only use this if that is the intended behaviour.
  • The correct onboarding_id values are shown in the Bulk Upload dialog — select the ID that corresponds to the appropriate journey for the investors being added.
  • The GUID must be copied exactly — it is case-sensitive and any error will break the link.
  • If an investor is added to the reporting system without a Source ID, or with an incorrect one, records will need manual reconciliation by your Delio administrator.
