This help article covers:
Default Transaction Management Workflow
Creating a custom Transaction Management Workflow
Editing a Transaction Management Workflow
Adding a custom Transaction Management workflow to a new deal
Changing Transaction Management workflow on a deal.
Default Transaction Management Workflows
There is a default workflow within the platform consisting of two sequential steps: 'Committed' and 'Completed'. This workflow will be added automatically to deals when they’re being created.
Once you create a new workflow set for your requirements, you can set this as the default workflow.
To do this, navigate to Manage Transaction Management Workflows. Click the hamburger icon (≡) to open the menu. The menu opens in a left-hand sidebar.
Select settings from the left-hand side-bar
On the settings page, select the Manage Transaction Workflows button.
Locate the new default workflow (note - it must be published) and click the ellipses (...). Select Make Default from the drop-down menu.
This workflow will then be automatically applied to all new deals created.
How to create a custom Transaction Management Workflow
In the Manage Transaction Workflows page, click the Create Workflow button.
This will prompt a pop-up to appear, allowing you to name the custom Transaction Management Workflow and add an optional description.
You will then be directed to a page with a blank Transaction Management Workflow. To add an extra step, including KYC/AML checks, click a plus icon in the place you want it to be inserted.
You can edit existing steps by clicking on the ellipses on the step and then selecting Edit from the drop-down menu.
Here you can rename the step, adjust settings, and assign a task within the step.
Once you are happy with the custom Transaction Management Workflow, click the Publish button in the top right corner.
How to edit an existing Transaction Management Workflow
In the Manage Transaction Workflows page, choose the Transaction Management Workflow you wish to edit and click the ellipses (...). Select the Edit from the drop-down menu.
This will direct you to the selected Transaction Management Workflow’s flow page. Click the Make Draft button in the top right corner to be able to edit.
Make your amends to the workflow. By clicking the plus button in between each step, you can add an extra step or include a KYC/AML check.
Edit existing steps by clicking on the ellipses (...) on the step and selecting Edit from the drop-down menu.
Once you are satisfied with the edited Transaction Management Workflow, click the Publish button located in the top right corner to save any changes.
How to add an edited or custom Transaction Management workflow on a new deal
When setting up a new deal by clicking Add a Deal from the plus icon in the top right corner of your platform, you will be taken to a page to provide preliminary information about the deal.
Here you can select the Transaction Management Workflow from a list of published workflows to be incorporated into the deal.
How to change Transaction Management Workflow on an existing deal.
Note - Once a deal has been created, users with access to manage deal settings can change the transaction management workflow, provided there are no active transaction records (no Investors/Teams or external transactions) on the current workflow.
Changing the transaction workflow will result in the removal of all documents associated with the previous workflow. Users will need to upload new documentation to the current transaction management folders.
Choose the deal for which you'd like to modify the Transaction Management Workflow. Once you're on the deal page, click the settings (cog) button.
Here select Transaction Management Settings.
Next, select the workflow that you would like to apply to the deal.
Click the Save Workflow button located at the bottom-right side of the screen to confirm your selection. The Transaction Management workflow will be updated accordingly.
